Top 5 Sales Reports in Tally ERP9

Sales report in Tally ERP 9 showcases all the transactions that have been made. It also records all the products that have been sold during a certain time frame by the management of sales team. It shows the trend that occurred in the sales volume of the company during a financial year.

Tally.ERP 9 provides a comprehensive day book for (S) ales information in the Sales Register. To view Sales Register, the user needs to follow these steps.

Step- 1: Go to Gateway of Tally (GOT)

Step -2: Click on (D) isplay

Step -3: Click on Accounts Books

Step- 4: Select Sales Register

(S) ales (R) egister displays the monthly summary of sales transactions and closing balances. The list of transactions pertaining to each month can be viewed by selecting the particular month. The user can change the display according to the information required.

With the sales register the user can:

  • Analyze the periodic turnover using the F2 option called Period.
  • Calculate the periodic taxes on such turnovers.
  • (S) ales (R) egister helps in tracing the errors made while recording the transactions.
  • Examine the Sales Returns during the year and take timely action to remove undesirable causes.
  • Evaluate the performance of godown, salesperson, sales area, and so on, with the help of cost centre and cost category report.

Sales Register Movement Analysis

Movement analysis shows the analysis of only those (I) nventory transactions which are integrated with the accounts, i.e. inventories which are also recorded in the books of accounts. (I) nventory (V) ouchers which affect the stock only in quantitative terms are not considered.

Movement analysis report is used for comparative studies. They provide with an insight with regards to the flow characteristics of the stock in an organization. It also helps in identifying the slow-moving items which cause blockages in the flow of the working capital of an organization.

To view Movement Analysis, the user needs to follow these steps.

Step- 1: Go to Gateway of Tally (GOT)

Step- 2:  Click on Display menu

Step- 3:   Click on Inventory Books

 Step- 4:   Select Movement Analysis

A menu bar has been provided to make the navigation much easier.

Movement Analysis (R) eports show only those inventory transactions for which accounting transactions have also been recorded. The user can analyze (S) tock movements by (S) tock groups, categories, financial group or (L) edger.

The different types of movement analysis reports can be generated in Tally.ERP 9:

  • (S) tock Group Analysis
  • (S) tock Category Analysis
  • (S) tock Item Analysis
  • Group Analysis
  • (L) edger Analysis
  • Transfer Analysis

Sales Register Pivot Mode

The (S) ales (R) egister can be exported into Excel to be compatible to generate Pivot table. This method will enable the user to generate (R) eports of various combinations based on specific requirements.

This will eliminate the need for customization of the existing (R) eports to prepare (S) ales data in the required format.

To export the (S) ales (R) egister for Pivot Table from the Sales Voucher Register screen

Step- 1: Click (E) xport or Press the Alt + E key, to open the Exporting Sales Register screen.

Step- 2: Select the required language from the list of languages displayed. Generally, we select English as the default language.

Step- 3: Select Excel (Spreadsheet) under Format from the list of formats displayed.

Step- 4: By default, the exported file will be stored in C:\Program Files\Tally.ERP9 for Windows 7 and C:\Tally.ERP9 for Windows XP operating systems.

Step- 5: Press Enter to accept the default Output File Name or type the filename of your choice in order to save the file with a different name.

Step- 6: Press Enter to accept the default Output Sheet Name.

Step- 7: To update the existing file select Yes in Update Existing File.

Step- 8: Set Yes to the option (E) xport for “Pivot Table”

Step- 9: To update the existing file select Yes in Update Existing File.

Step- 10: To format the contents of the file select Yes in Excel (Spreadsheet) formatting.

Step- 11: Select Yes for the field with Colour, to retain the background colour in the exported file.

Step- 12: Accept to export the (S) ales (R) egister (V) ouchers to an Excel file for Pivot Table.

Step- 13: Open the exported file from the specified folder.

Step- 14: Now click to open the Excel Sheet.

Step- 15: The user can now create a Pivot table and set the Report filter, Row labels, Column labels, and Values-based on your requirement to generate a customized report.

Sales Order Outstanding

(S) ales Order Summary statement provides the users with detailed information on the outstanding sales orders.

The outstanding orders can be viewed for the following;

  • Stock Groupwise
  • Stock Categorywise
  • Stock Item wise
  • AccountGroup wise
  • Ledgerwise
  • All Orders

Sales Order Outstanding can be accessed by following the below-mentioned steps.

Step- 1: Go to Gateway of Tally (GOT).

Step- 2: Select (D) isplay and click on Statements of Inventory.

Step- 3: Then click on Sales Order Outstanding.

A menu bar has been provided for easy navigation.

Daily Sales Report

Daily sales report can be further classified into 5 types;

Today

Today can be any given day of any given month. This report deals with a transaction of a particular day. The report displays all the sales made within a day of an organization.

For example; Sales Report for Friday dated 29th June 2018.

Month to Date (MTD)

Month to Date (MTD) signifies from the starting date of any particular month to the current date of that month. This report displays all sales transaction for that said period.

For example; Sales Report for Period ending 1st June 2018 to 30th June 2018.

Previous Month to Date (PMTD)

Previous Month to Date (PMTD) signifies from the starting date of the previous month to the current date of that month. The report displays all sales transaction for that above mentioned period.

For example; Sales Report for Period ending 1st May 2018 to 30th June 2018.

Year to Date (YTD)

Year to Date (YTD) signifies from the starting date of any particular date and month of the year to the current date and month of that year. This report displays all sales transaction for that said period.

For example; Sales Report for Period ending 1st January 2018 to 30th June 2018.

Previous Year to Date (PYTD)

Previous Year to Date (PYTD) signifies from the starting date of the previous month to the current date of that month. The report displays all sales transaction for that above mentioned period.

For example; Sales Report for Period ending 1st January 2017 to 30th June 2018.
